Be honest about the problem
Not every operational pain is a software problem. If nobody owns the follow-up process, software will not create ownership — it will document its absence at considerable expense. Fix unclear responsibility first; then build tools for a process that actually exists.
Run it manually first
If a workflow cannot be operated with spreadsheets and phone calls, it is not understood well enough to automate. The manual version teaches you which steps matter, which exceptions appear weekly, and what the software must never get wrong. Skipping this lesson is the most expensive shortcut in custom development.

Budget for the second year
Launch day is the middle of the story, not the end. Software that is used attracts change requests, small improvements and the occasional repair. Plan and budget for ongoing care from the start — a system nobody maintains quietly becomes the next thing you need to replace.
Choose partners who ask awkward questions
A good development partner challenges your requirements, asks what happens when things go wrong, and occasionally tells you a feature is not worth building. One who agrees with everything is selling to you, not building for you. The awkward questions are the service.
